Weekly Settlement

The Weekly Settlement Report lists Previous Balances from last invoice period, EFT payments, cancels, net sales, sales commission, cashed other, promotions, administration fees, adjustments and amount due information for given invoice period and retailer. Use to verify invoice period financial data for specified retailer.

  • Tracks lottery accounting
  • Lists amount being charged or deposited into the lottery account for a given week
  • Lottery Accounting Week Starts Sunday & Ends Saturday
  • Electronic Funds Transfer (EFT) sweep every Tuesday
  • Can be generated for up to 180 days back
  • Input 8-digit date or send for current week
  • Current will be the previous Sunday à Saturday (print example)
  • Lists balance from previous week
  • “Total Due” in first section of report is the EFT sweep total for given week
  • Sum of “Draw Games Due” and “Scratch Due” for the given week
  • Totals come from draw games sales, payouts, and settled packs

Please Note: Weekly Settlement Reports require a full week of data.  If in the middle of a current week, the previous week’s numbers will be pulled.

Report Information

  • Previous Balance. Balance from the previous week
  • Payments. Payments made on the previous week’s balance
  • Balance forward. Balance after last week’s payment
  • Draw Game Due. Total amount due from draw game items listed in the draw games section below
  • Scratch Due. Total amount due from scratch items listed in the scratch section below
  • Total Due -Total amount due
    • Draw Due plus Scratch Due
    • Total balance due for current closed week
  • Draw Games
    • Sales
      • Total sales for draw games sold from retailer
      • Quantity of tickets sold and total dollar value
      • Will combine sales for retailers with multiple terminals
    • Cancels
      • Any draw games that were canceled on the main terminal
      • Quantity of tickets canceled and total dollar value
      • Powerball, Mega Millions, Cash Pop, and promotional tickets cannot be canceled
      • Negative value shows credit going back to the retailer
    • Net Sales
      • Draw games sales minus any cancels
      • Net quantity of tickets and total dollar value
    • Total sales comm
      • Sales commission from draw games sales
      • Negative value shows credit going back to the retailer
    • Pays
      • Total pay outs for draw games
      • Quantity of draw game tickets paid and total value
      • Negative value shows credit going back to retailer
    • Free TKTS Issued
      • Free tickets produced as a promotional item
      • Free tickets produced during Happy Hour or similar promos
      • Free tickets produced using coupons
        • i.e. Buy One, Get One Free
    • Free Hit5 Replay
      • Free Hit5 tickets produced
        • Free Hit5 replay is bottom tier prize for Hit5 Draw Game
    • Admin Fee
      • Weekly fee for selling lottery
      • Includes equipment rental, maintenance of equipment, supplies, etc.
    • Adjustments
    • Debit Card Transactions
      • Draw game purchases made on vending terminals using a debit card
        • Only for retailers with a vending terminal
        • Will not track debit purchases made on the retailer’s POS system
      • Quantity of transactions and total dollar value
    • Draw Game Due
      • Total amount due for all draw game items
        • Adjusts for any credit owed to the retailer

 

  • Scratch
    • Packs Settled
      • Packs that have reached the payment threshold
        • 50 days from activation or 80% winning tickets validated
      • Quantity of settled packs and total dollar value
    • Partial Return
      • Activated or settled tickets that have been returned to the lottery sales rep
        • Ticket reaches the end of activation and is picked up by lottery reps
          • Retailers are given credit for any unsold tickets
      • Quantity of ticket packs and total dollar value
      • A negative value shows credit going back to the retailer
    • Sales Comm
      • Sales commission for scratch tickets sold
      • A negative value shows credit going back to the retailer
    • Pays
      • Total payouts for scratch tickets
      • Quantity of tickets paid and total dollar value
      • A negative value shows credit going back to the retailer
    • Adjustments
